Cancellation Terms and Conditions:

Annual Meeting - Cancellation Policy:

If notification of cancellation is received by:

 

  • 31 August 2025 - cancellations will received a full refund (minus 50$ handling fee).

  • Between 1 and 19 September 2025: Cancellations will receive 50% refund (minus 50$ handling fee)

  • After 19 September - cancellations will not be refunded.

Substitutions or transfers to virtual registration

​

  • If notification is received prior to 19 September 2025, delegates can transfer their registration Package from In-Person registration to Virtual registration - the difference in registration fee will be refunded, minus 50$ handling fee.

  • If notification is received after 19 September - transfer in registration package is allowed but the difference will not be refunded.

  • Substitutions in participants' names are allowed any time

OTS Membership:

​

  • OTS Membership Fees (New members or renewals): Students - $50  Professionals - $100

  • OTS Members or Non-members can register through the same registration platform.

  • New members and/or membership renewals can be processed on the registration platform (in this case please select the option “NEW or RENEWAL”) – the final meeting registration fee will be adjusted accordingly.

General Information:

In-Person meeting registration includes:

​

  • Access to all Annual Meeting sessions, Poster-Fire Sessions, Event Career (for Students/Post-docs or Trainees), Poster Presentation Receptions, Exhibitors Table-top booths and Exhibitor Reception, meeting refreshment breaks and lunches.

  • Meeting materials, program book and registration bag.

  • Annual Meeting presentation recordings for on-demand viewing, available after the event and up to December 31, 2025.

  • Possibility to submit an abstract for Short Talk and/or Poster Presentation (selection by Committee) -    Possibility to present (if selected) at the Posters-Fire Sessions

  • Opportunity to participate in Q&A with presenters during the meeting and through the online platform messaging.

  • Certificate of attendance (emailed after the event).

Virtual meeting registration includes:

​

  • All Annual Meeting presentations live-streamed for real-time viewing (Budapest - CET time zone).

  • Annual Meeting Virtual Platform connection including all presentation abstracts, poster gallery with virtual posters, networking platform connecting both in-person and virtual attendees.

  • Opportunity to participate in Q&A with presenters through messaging on the online platform.

  • Possibility to submit an abstract for a virtual Poster Presentation (selection by Committee)

  • Annual Meeting presentation recordings for on-demand viewing, available after the event and up to December 31, 2025.

  • Certificate of attendance (emailed after the event).

Invitation letters for Visa Applications

Invitation letters for visa applications are available for registered attendees. A link will be included in your registration confirmation email to access the online form. Upon submission of the completed form, the invitation letter will be emailed to you.
